| So I am talking with my friend about going to bronycon and if we go there will likely be 2 spots open in our hotel room. If we go we will probably go from Thursday to Sunday. Meaning paying for 3 nights at the hotels.
So here are the Hotel details.
Hotels 1. Hilton - $125 a night (until they sell out) 2. Days INN - $184 a night (probably won't sell out 3. Sheraton - $226 a night.
Other Hotels are availiable but the Hitlon is by far the cheapest for 3 nights. So with the brony promo code the hilton will be the cheapest but it will be best to plan to go earlier rather than later.
A pass for the con is 75 dollars for all three days.
Travel costs will be either based on gas used, OR a flight. We plan to fly out of O'hare if we go and will be leaving from Valparaiso, IN to drive to Chicago if we do in fact fly there. Flights from O'Hare to BWI are 400+ dollars.
Cost before Traveling is around $170 (Hilton) to $245 (Sheraton).
If we become an official club then we can plan for more people and possibly even get a car through Purdue to use to get to the Event.
EDIT: Pending stuff today I may have a hotel room reserved.

| Travelling as a club involves a lot of paperwork. I've also not heard of a club getting a vehicle through purdue for travel. This is not to say it's impossible, but i just haven't heard of it. It would bear some investigation. It would more likely be that one person could rent a car, then club funds be used to reimburse, assuming the club has funds.

$184 a night for a Days Inn??? What the--?! Renting a car is what my friend and I are starting to look into, because it appears that renting a car will be far cheaper than plane tickets. Where I have checked online it looks like renting a car will be about the same (gas included) as one plane ticket. So that cuts it from ~1600 to ~ 400 for travel costs. | |

| I am putting in the Hotel reservation tonight. More Details to follow.
Edit: My friend and I are attending the con regardless of pretty much anything at this point.
Edit 2 : After taxes teh room was 447.00 total, at $129.00 a night in the Radisson. The Hilton was sold out and so were the other hotels with 125 dollars a night rooms. So per person, it will be $111.75.
I think there is one spot left, as the new Treasure who's name escapes me at the moment, was interested and offered to drive there.
I am happy I got reserved this now considering all the good rates seem to be running out already. | |

| Hey, I'm considering going to BronyCon with the primary purpose of selling my plushes...can you give me a rundown on how things would work? (assuming you have space for me etc.) Two main things I need to really think about are getting the plushes there and also costs of the trip is there any way to check how many vendor tables they even have left? I don't see any mention of it... | |

| We do have one spot left. Essentially the plan is to leave August 1st Early in the morning to go to Baltimore some time in the afternoon or evening, it would be a 11-12 hour drive. We want to rent a car to drive there or if someone has a car we can use that would be even better. (that part of the planning has fully been talked about but I don't have a car I could use and neither does my friend.) We would leave Sunday afternoon, and come get back kinda late at night.... (I might try to add another night to the reservation if it is desired. but the room cost will go up.) Bronycon.org just opened up the artist alley registrations I believe. | hm...how much space can I take up? If I do get a stall I'd like to take at least 100 plushes, which would fit comfortably in a suitcase. but of course, I'd like to take as many as I can. The situation with the vendors seems simple enough, just gotta work out the logistics | |

| It would depend on what type of car we end up taking I guess. everyone would be bringing at least clothes for the weekend. So one suitcase woudl be easy but we could potentially figure out how to get another in there too of just plushies. | |

So sorry, I could call you tomorrow if you would like, but basically outside of the hotel room and that were are going by some type of car everything else is up in the air, that's why I have been so terribly vague, I have been putting of more planning until after spring break. | |

| Before Spring break there was a person talking about the possibility of getting more people to join the club AND go to bronycon, if anyone has his facebook or an email for him that would help me greatly because if we can get a large number of people to go (the number for using a bus service) then we can get there easier. | |

| And I'll almost for sure have an apartment not too far from the convention center where I can probably house a few people (assuming I end up getting a security clearance and there's still a position for me. I really wish they'd get back to me about that.). You'd probably need sleeping bags, but you can't beat the low low price of free! | |

| I looked into the bus thing for this trip and got some quotes on how much it will cost:
An 8-person van will cost $30/day plus 25 cents/mile driven (about $434) A 10-person van will cost $40/day plus 30 cents/mile driven (about $533) A full bus will cost $5700 for the whole trip, plus parking fees and room for the driver
Both of the vans are driven by a certified student (so someone would need to apply) where as the bus requires you to hire a driver.
Of course we'd need to be a club first so that's step one...

| I made a couple changes to my trip calculator to include a 8 person van option and a 10 person van option. I did not include the bus as I don't think it is a reasonable method of travel unless we have a lot of people go, even if 20 people went we would still have to all pay $285 each just for a ride not including parking fees.
I'll have it at next weeks meeting, so if you want me to add variables I can do that. | |

| Some new info. Apparently I was given prices for on-campus vans, not the off-campus ones. Our actual van options:
7-person mini-van costs $30/day and 25cents/mile 8-person van (full-sized) costs $40/day and 35cents/mile
Gas is included for either choice, a credit card is provided for any fill-ups | |

| Ok, well I updated it again to reflect the 7 and 8 person vans.
I don't see how mileage is a huge issue, it is more or less a sunk cost, but since we are only paying for how many miles we drive, it is a lot more concrete in terms of price since I don't see Baltimore deciding to move another 50 miles east while gas may go up $0.50 or more.
I think the issue now is getting someone licensed to drive since it will be approximately a 10-11 hour drive. It may be a good idea to have a couple people get this permission to switch off or if something comes up and they cannot attend anymore and then be SOL when it comes time to leave.

| If what they told me is correct, that's basically what the 8-person van would be like. The 7-person is a minivan, similar to a Honda Odyssey though I have no idea what the make or model of the actual minivan would be. | |

Expected Arrival time: 5pm-8pm
Vehicles: Browncoat's Car If anyone else can drive please inform us, so we don't have to rent a vehicle.
Desired travel alternative: Purdue Bus this can only occur if we become an official club.
